1. Introduction
NexGen Tax and CFO Advisory, Inc. (“NexGen,” “we,” “us,” or “our”) provides tax preparation, tax planning, and fractional CFO advisory services. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit nexgentaxcfo.com (the “Site”), contact us, or use our online forms and tools.
This policy covers the Site and our related online communications. If you become a client, your engagement letter and our separate client privacy notice also govern how we handle the financial and tax information you provide for our services. Where those documents conflict with this policy, the engagement letter and client privacy notice control.
By using the Site, you acknowledge the practices described here.
2. Information we collect
We collect information you give us directly, information collected automatically when you use the Site, and limited information from third parties.
Information you provide
- Contact details: name, email address, phone number, company name, and job title.
- Inquiry details: the services you are interested in, your business size or revenue range, and anything you write in a contact or consultation form.
- Scheduling details: meeting times and notes you submit through our booking tool.
- Client information: if you engage us, financial records, tax documents, Social Security or Taxpayer Identification Numbers, bank and payroll data, and other information needed to deliver our services. We collect this through our secure client portal or other secure channels, not through public website forms.
- Payment information: processed by our third-party payment provider. We do not store full card numbers on our systems.
Information collected automatically
- Device and usage data: IP address, browser type, operating system, referring pages, pages viewed, time on page, and approximate location derived from your IP address.
- Cookies and similar technologies, described in Section 6.
Information from third parties
- Referral partners, professional networks, and publicly available business sources.
- Analytics and advertising partners that report how visitors find and use the Site.
Please do not send tax documents, account numbers, or Social Security Numbers through the Site’s contact forms or by regular email. Use the secure client portal we provide.
3. How we use information
We use personal information to run our business and serve you, specifically to:
- Respond to inquiries and schedule consultations.
- Evaluate whether we are a good fit and prepare proposals and engagement letters.
- Deliver tax preparation, tax planning, bookkeeping oversight, and CFO advisory services.
- Send invoices, process payments, and maintain accounting records.
- Send service updates, tax deadline reminders, and, where permitted, newsletters or insights you can opt out of at any time.
- Operate, secure, and improve the Site, including troubleshooting and analytics.
- Detect and prevent fraud, unauthorized access, and misuse.
- Comply with legal, regulatory, and professional obligations, including record-keeping rules and lawful requests from authorities.
We do not sell personal information, and we do not use client tax return information for marketing without your written consent.
4. Tax return and financial information
Client tax and financial information receives stricter protection than general website data.
- Tax return information. Under Section 7216 of the Internal Revenue Code, we do not use or disclose your tax return information for purposes other than preparing your return unless the law allows it or you give signed consent in the form the IRS requires.
- Financial privacy. As a provider of tax and financial services, we follow the Gramm-Leach-Bliley Act (GLBA) and the FTC Safeguards Rule. We maintain a written information security program with administrative, technical, and physical safeguards. Clients receive a separate GLBA privacy notice.
- Professional standards. Where our professionals hold credentials such as CPA or Enrolled Agent, we also follow the confidentiality rules of the applicable licensing bodies and IRS Circular 230.
5. How we share information
We share personal information only as described below, and we require service providers to protect it.
- Service providers. Vendors that host the Site, run our client portal, scheduling, e-signature, email, payment processing, document storage, and tax or accounting software, including GoDaddy (website hosting), Google Analytics (site analytics), and TaxDome (secure client portal). They may use the information only to perform services for us.
- Taxing authorities. The IRS and state or local tax agencies, when we file returns or communicate on your behalf as authorized.
- Professional advisors. Our attorneys, auditors, insurers, and peer reviewers, under confidentiality obligations.
- Legal requirements. When required by law, subpoena, court order, or regulatory request, or to protect our rights, property, or safety.
- Business transfers. In a merger, acquisition, or sale of assets, subject to the same protections in this policy and to client consent where the law requires it.
- With your consent. For example, sharing information with your banker, attorney, or investors at your direction.
We do not sell personal information for money. If the Site uses advertising pixels, Sections 6 and 8 explain what that means and how to opt out.
6. Cookies, analytics, and tracking
The Site uses cookies and similar technologies to function, measure traffic, and, if enabled, support advertising.
| Type | Purpose | Examples |
|---|---|---|
| Strictly necessary | Security, form submission, page loading | GoDaddy hosting and WordPress session cookies |
| Analytics | Understand which pages are visited and how | Google Analytics |
| Advertising (optional) | Measure campaigns and show relevant ads on other platforms | Not currently used |
Google Analytics collects usage data such as pages visited, time on page, device type, and approximate location. Google processes this data under its own privacy policy. You can opt out of Google Analytics on any site by installing the Google Analytics Opt-out Browser Add-on.
Videos and images on the Site are hosted on our own server, so viewing them does not load third-party tracking.
You can manage cookies through our cookie banner, if shown, or through your browser settings. Blocking some cookies may affect how the Site works. We honor Global Privacy Control (GPC) browser signals as an opt-out of advertising cookies where the law requires it. Some browsers send “Do Not Track” signals; because no common standard exists, we treat GPC as the operative signal.
7. Security, retention, and other protections
Security. We protect information with encryption in transit, access controls, multi-factor authentication, secure client portals, and staff training. No system is perfectly secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and the relevant authorities as the law requires.
Retention. We keep website inquiry data for as long as needed to respond and follow up, generally no more than [24 MONTHS] if you do not become a client. We keep client records for the period required by law and professional standards, typically [7 YEARS] after the engagement or the relevant tax year, then securely destroy them.
Children. The Site is not directed to children under 16, and we do not knowingly collect their personal information through the Site. Information about a minor dependent that a client provides for tax purposes is handled as client information.
Location of processing. We are based in the United States and process information there. If you access the Site from outside the U.S., you consent to that transfer.
Third-party links. The Site may link to other websites, such as IRS.gov or software vendors. Their privacy practices are their own, and we are not responsible for them.
8. Your rights and choices
You can control how we use your information, and residents of some states have additional legal rights.
Choices for everyone
- Unsubscribe from marketing emails using the link in any email or by contacting us. We will still send service and billing messages to clients.
- Ask us to update or correct your contact information.
- Decline optional cookies through the cookie banner or your browser.
State privacy rights
Depending on where you live, including California and other states with comprehensive privacy laws, you may have the right to:
- Know what personal information we collect, use, and disclose, and request a copy.
- Request correction of inaccurate information.
- Request deletion, subject to legal and professional retention requirements.

To make a request, email info@nexgentaxcfo.com or call (916) 504-9572. We will verify your identity before acting and respond within the time the law requires, typically 45 days. You may use an authorized agent with your signed permission. If we deny a request, you may appeal by replying to our decision.
Information we hold as a GLBA-covered financial institution, such as client tax and financial records, may be exempt from some state privacy laws and is governed instead by our client privacy notice.
9. Changes and contact
We may update this policy as our services, tools, or legal obligations change. The effective date at the top shows the latest version. For material changes, we will post a notice on the Site or email clients before the change takes effect.
